INFOhio Updates
StaffWeb is Going Away...
- SirsiDynix announced that StaffWeb (online library automation client) will be deprecated with the release of Symphony 3.6 (we are currently running 3.5.1.1J). INFOhio will not be updating to 3.6 until June 2019, at the earliest.
- Issues: Relies on Flash. Requires Java 1.6 which conflicts with Web Services. Issues generating SSL certificates.
INFOhio Website Redesign
- INFOhio is redoing their website, July 1, 2018, which will employ a modern approach to website development. Specifically, the site will be designed for mobile devices first and desktop devices secondarily.
World Book and Google

Also new to all of INFOhio’s World Books (Kids, Students, and Advanced) is the addition of a powerful feature adding seamless integration with Google Drive and Google Classroom. To save articles to Google Drive for future access Go to the Tools and Settings menu and choose Google Drive.
Responses to Questions from January's Meeting:
Age of Collection Report - How do you exclude weeded/missing items?
- ANSWER: Only if you delete these items will they be excluded in the CAS: Age of Collection report (confirmed via INFOhio support ticket with Bonnie B. 3/2/2016).
How do you refund money?
- ANSWER: If the user has paid the lost item bill by the time the item returns to circulation, you can manually issue a refund to the user according to your library’s procedures. How you manually issue the refund depends whether or not your library uses patron credit accounts.
- If your library does not use patron credit accounts (most of NEOMIN's libraries do not), do one of the following to determine the user’s refund amount:

- FROM USER RECORD: Click the User Display wizard, search for the user record, and click the Bills tab. If Paid bills do not display, click Paid under Display Options. A list of bills the user has paid appears. Lost items that have not been paid and are still charged to the user display in the Checkouts tab.
- FROM ITEM RECORD: Click on Common Tasks, Item Search/Display. Search for item. Click on the Call Number/Item tab. Click to highlight the item. To the right of your screen, click on the Bills tab. Change the Bills type (at the bottom) to Paid.
- FROM A REPORT: Run the Circulation tab >> List Bills report with settings of LOST for the Bill Reason, and Yes for List of Charge Information. You can make User Selections to narrow the focus of the report. Bill and item
information appear in the report output so the amount of the user’s refund can be calculated.
- Add a Note to Document the Refund (optional):
Make a note of the refund on the "Extended Info" tab of the Modify User wizard. Generate a report of these notes and comments by running a PAT: List Users report (explained below).

If the book was previously marked LOST, you should check-in the item to make it AVAILABLE.
How do you handle a damaged book and associate it with a patron?
- ANSWER: You have two options for Billing a User for Damage. Note: If you are going to charge the patron for the total cost of the item, be sure to look up that amount, beforehand, so you can use that amount in the "Amount" to be billed field.
You can use the "Billing a User" wizard that is under "Checkout, Checkin, Renewals and Fines" or you can go directly to Display User and lookup the user's information. The directions below use Display User.
- Display User >> Search for patron >> Go to Checkouts tab >> Right-click over the Item ID that is damaged. Select "Bill User for Item". Enter the Item and Bill Information: Reason for bill: Damage, Amount: (you determine the amount to be billed), the Item ID is already included, and Payment Type: CASH. Select "Bill User" at the bottom.
What Just Happened?
After the user is billed for the damage, the item remains "checked out" to the user and a bill gets created on the "Bills" tab with reason = DAMAGE with the amount you entered.
Check In Item
Your next step is to check in the item, since you have the item in-hand. (Note: Checking in the item will NOT remove the bill from the user's account.)

Need to Decide: Repair or Order New Copy?
Since the item is damaged, you will either want to take it out of circulation, in order to repair the item, or order an entirely new copy.
Things to consider:
- You could change the item's status to "REPAIR" so that future users know that the item is not available for check out. Note: The status of "Repair" does not shadow the item in the online library catalog. Although you could easily shadow any item by checkmarking "Shadow Item" on the Item Info screen.
- You could change the item's status to "DISCARD", which shadows the item in the online library catalog. Order a new item and add a new item to the existing bib record. At the end of the year (or time-frame determined by you), you can run a shelflist of DISCARD items to be removed, and request that NEOMIN mass remove those items. Marking an item as DISCARD is the suggested method (do not remove the item manually), as you are then able to generate a report of items that were removed during the school year (or time-frame determined by you).

- On the User's account, the damaged item amount will remained associated with the user even after the amount is paid in full. You can view the Paid bill at any time on the Bills tab.

How do you mark an item as lost and bill the user for the item?
- ANSWER: You should use the Mark Item Lost wizard, which will generate a bill at the same time. DO NOT Bill a User for "Lost" and create the bill that way.
HINT: When using the Mark Item Lost wizard, delete the $0.00 processing fee and it will not show up on the patron's account.

- Navigate to Display User, search for the patron, and right-click on the lost title, or
- Use the Mark Item Lost wizard, found under Item Maintenance (also found under Commons Tasks >> Mark Item Lost).
All do the same thing.
DO NOT USE "CANCEL" LOST ITEM BILL BUTTON OR SELECT "CANCEL" AS A PAYMENT TYPE. THESE ARE SYSTEM USED STATUSES AND SHOULD NOT BE USED BY YOU.
